Renewal Desk

Privacy Policy

Last updated: July 6, 2026

This Privacy Policy explains how Renewal Desk (“we,” “us,” or “our”) collects, uses, and shares information when you visit renewaldesk.xyz, create an account, request a demo, or use our renewal intelligence platform (the “Service”).

1. Information we collect

We collect information in the following categories:

  • Account information — name, work email, password (stored in hashed form), agency details, and role preferences you provide when signing up or updating your profile.
  • Billing information — subscription status, territory selections, and invoice history. Payment card details are collected and processed by Stripe; we do not store full card numbers on our servers.
  • Usage information — pages viewed, features used, lead interactions, follow-up activity, and technical logs such as IP address, browser type, and device identifiers.
  • Communications — messages you send us (including demo requests) and emails we send about your account, trials, or the Service.
  • Lead and contractor data — license, bond, and business information from public and licensed third-party sources used to power renewal intelligence. This data generally relates to businesses and licensed contractors, not consumers seeking insurance.

2. How we use information

We use collected information to:

  • Provide, maintain, and improve the Service.
  • Deliver territory-based leads, scores, rankings, and daily renewal intelligence.
  • Process subscriptions, apply guarantee refunds, and send billing-related notices.
  • Authenticate users, secure accounts, and prevent fraud or abuse.
  • Respond to demo requests, support inquiries, and product updates you opt into.
  • Comply with legal obligations and enforce our Terms of Service.

3. How we share information

We do not sell your personal information. We may share information with:

  • Service providers — such as Stripe (payments), Resend (email delivery), hosting and database providers, and analytics tools that process data on our behalf under contractual safeguards.
  • Legal and safety — when required by law, court order, or to protect rights, safety, and security.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.

4. Cookies and session data

We use essential cookies and similar technologies to keep you signed in, remember preferences, and protect the Service. You can control non-essential cookies through your browser settings, though some features may not function without them.

5. Data retention

We retain account and billing records for as long as your account is active and as needed to meet legal, tax, and accounting requirements. Usage logs are retained for a limited period unless a longer period is required for security investigations or dispute resolution.

6. Security

We use administrative, technical, and organizational measures designed to protect information, including encryption in transit, access controls, and hashed credentials. No method of transmission or storage is completely secure; please use a strong, unique password for your account.

7. Your choices and rights

Depending on where you live, you may have the right to:

  • Access, correct, or delete personal information we hold about you.
  • Object to or restrict certain processing.
  • Export your data in a portable format.
  • Opt out of marketing emails via the unsubscribe link in those messages.

To exercise these rights, contact accounts@renewaldesk.xyz. We may need to verify your identity before fulfilling a request.

8. California privacy notice

California residents may request information about categories of personal information collected, sources, purposes, and disclosures. We do not sell personal information as defined by the California Consumer Privacy Act (CCPA), as amended by the CPRA.

9. Children

The Service is intended for business professionals and is not directed to children under 16. We do not knowingly collect personal information from children.

10. International users

If you access the Service from outside the United States, your information may be processed in the United States or other countries where we or our providers operate. By using the Service, you consent to this transfer where permitted by law.

11. Changes to this Policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the “Last updated” date. Material changes may also be communicated by email or in-product notice where appropriate.
